How to start coaching clients online: 7 steps for a personal trainer

From the first program to a paid invoice: what to set up so online coaching runs as a system, not as a stream of messages.

Online coaching does not start with an app. It starts with a clear answer to what the client gets for their money and what that looks like in their week. These seven steps are the order we build client work in ourselves.

1. Decide what you sell

The three common formats: a ready program with no supervision, a program with a weekly review, and full coaching with nutrition. Each has its price and its promise. Write the promise in one sentence — it becomes the headline of your public page.

2. Build your exercise library

Every client will ask “how do I do this?” about every exercise, once. Answer in advance: a name in their language, a short cue and a video. You do not build the library from scratch — start from the shared one and add your own exercises and your own clips.

3. Make a program template

A program is not thirty separate workouts but a block of 4–8 weeks with a logic: what changes each week and why. You assign the template to a client with a start date, and the workouts lay themselves out on the calendar.

4. Set your weekly rhythm

When do you plan next week? When do you review what was done? Coaches who do this at the same time every week rarely lose clients. The system should tell you whose program is ending, so you never check each client by hand.

5. How the client logs workouts

On the phone, with nothing to install from a store, in half a minute after the session: sets, weights, how it felt. The fewer taps, the more data. And that data is for you — not for reports, but for planning the next week.

6. Nutrition and habits without pressure

Not every client will count calories. Give a diary to those who want one and three habits to those who do not. Weight once a week, a photo once a month — enough to see the direction.

7. Payments and rules

Automatic invoices, a membership with an end date, and a clear rule for what happens when it ends. The client should know what they pay for, and you should know when the money arrives.
